Writing Appointment Reminders That Actually Get Read
A reminder that gets ignored is as useless as no reminder at all. This guide covers the timing, tone, and wording that make clients actually read your messages — and turn up to their appointments.

Why wording matters
Sending a reminder is only half the job. If it's confusing, impersonal, or buried in marketing waffle, clients skim past it. A good reminder is read in a glance, tells the client exactly what they need to know, and makes it effortless to act if something's changed. Get the wording right and the same reminder system works noticeably harder.
What every reminder should contain
- The client's name — so it reads as personal, not bulk
- The dog's name — instantly recognisable and warm
- The date and time, written clearly
- Your salon name, so they know who it's from
- A simple line on what to do if they need to change it
Get the timing right
The sweet spot is 24 to 48 hours before the appointment. Earlier than that and clients forget again; later and they may not have time to rearrange their day. Many salons use two touches: an email 48 hours out and an SMS 24 hours out.
With Pawfectly Booked you can set this timing once and it applies automatically to every appointment — anywhere from 1 to 72 hours before.
Strike the right tone
Warm and brief beats formal and long. You're a local business that cares about their dog, not a faceless corporation. A friendly, human tone — using the dog's name — builds the relationship while doing the practical job of reminding them.
Template examples
Here are reminder templates you can adapt. The bracketed parts are personalisation variables that fill in automatically.
"Hi [Client Name]! Just a reminder that [Pet Name] is booked in with [Salon Name] tomorrow at [Time]. Looking forward to seeing you both. Need to change it? Just reply or call us."
"Hi [Client Name], this is a friendly reminder that [Pet Name]'s grooming appointment with [Groomer Name] is on [Date] at [Time]. If you need to reschedule, please let us know at least 24 hours in advance so we can offer the slot to another client. See you soon!"
"Thanks [Client Name]! [Pet Name]'s appointment is confirmed for [Date] at [Time] with [Salon Name]. We'll send a reminder closer to the day."
Personalise everything you can
Generic reminders feel like spam. Personalised ones feel like a note from someone who knows your dog. Using the client's name, the dog's name, and the groomer's name costs you nothing once your templates are set up — and it dramatically improves how the message lands.
Let it run automatically
The best-written reminder in the world is useless if you forget to send it. Set your templates and timing once, and let the system send a perfectly worded, personalised reminder for every appointment — without you ever touching it again.
Already booked vs due to book
This guide is about appointment reminders for clients who already have a booking. Active Standard and Gold subscriptions also include a separate marketing feature called Reminder to Book In, which can contact opted-in clients when their dog may be due or overdue for the next groom. Appointment reminders do not use Marketing Credits; Reminder to Book In does.
